Your case belongs to you.
Workplace Advocate helps unionized, excluded, and non-union employees in British Columbia understand workplace situations and prepare work for their own review. This policy explains what information is handled, why, and what you can control.
What we collect
We collect the information needed to create and protect your private advocacy case:
- if you request pilot access: your email address, whether you work in British Columbia and are unionized, an optional union name, and a broad workplace-process category;
- your email address, invitation, and authorized device sessions;
- what you type or say, including completed voice transcripts;
- documents you choose to upload, such as letters, emails, policies, or collective agreements;
- plans, letters, speaking points, notes, and other work you create or approve; and
- limited security and reliability information such as request identifiers, timing, errors, and pseudonymous account identifiers.
The public access request does not ask for your employer, diagnosis, case story, or documents. Please do not include them there.
You do not need to provide a diagnosis. Share only the workplace facts, functional limitations, support needs, documents, and outcomes that are relevant to the help you want.
How we use it
We use essential case information to remember your work, answer your questions, find relevant material in the sources available to your case, prepare drafts for you to review, secure your account, and provide exports or deletion when you request them.
Workplace Advocate does not contact your employer, union, steward, health professional, or anyone else. It does not automatically send or file anything. We do not sell your personal information.
Separate product-improvement research is optional and off by default. If you turn it on, structured activity may be saved. Your words are included in research records only if you separately choose that option.
Service providers and processing location
We use OpenAI to generate text and natural-voice responses, Vercel to host the application and encrypted private files, and Neon for the encrypted case database. These providers process information to support the service under their applicable service terms and security controls.
These services may process or store information outside Canada, including in the United States. Information handled outside Canada may be subject to the laws of that jurisdiction.
Security and retention
Case content, uploaded documents, filenames, and generated work are encrypted in private storage. Access is separated by user and case, invitation and session tokens are stored as hashes, and case pages are marked private and not cacheable.
Essential information is retained while your case is active so you do not lose your work. You can permanently delete your case from the workspace. The service removes private case content and revokes access; limited non-content deletion and security records may remain to prove and operate the deletion. Encrypted provider backups may persist temporarily until their recovery period expires.
Your access and choices
- Access and export: download your case, documents, reviewed PDFs, and any research activity available to your account.
- Correction: correct what My Advocate understands and create a new reviewed version of prepared work.
- Research choices: turn optional research collection off at any time without losing essential case memory.
- Deletion: permanently delete the private case and revoke its authorized sessions.
You may also make a written request to access, correct, or delete personal information, ask a privacy question, or make a complaint using the contact below.
Decision support, not legal advice
Workplace Advocate provides education, organization, and drafting support. It distinguishes verified facts, supported interpretations, unresolved questions, and recommended conservative actions. It is not a lawyer and does not decide your rights, diagnose a condition, predict an outcome, or act for you.
